An overdue invoice does not always mean you need debt collection immediately. Start by checking the facts and sending a clear, professional reminder.

Check the invoice and contact first

Confirm the invoice number, amount, due date, client details and payment information. A short call or message can reveal whether the issue is an invoice error, an approval process or a temporary delay on the client side.

  • Client name and the right contact person.
  • The delivered service or product.
  • Current IBAN and payment details.

Send a friendly payment reminder after the due date

Keep the reminder factual and professional. Identify the invoice, outstanding amount and due date, then make the payment method easy to find. Ask the client to confirm if the payment has already been scheduled.

Keep a copy of the reminder and the client's response. A documented sequence means that later follow-up stays connected to the original invoice.

Business clients and consumers have different rules

For a business client, follow the payment and collection process in your contract or terms. For a consumer, a free formal 14-day notice is required before collection costs can be charged.

Rules for statutory interest and collection costs depend on the customer type, your agreement and the circumstances. Do not rely on a remembered rate: check current guidance or obtain advice for an individual case.

If the invoice remains unpaid

First establish whether a short delay is realistic. If you agree a payment arrangement or a new deadline, record it in writing. For a dispute, a significant amount or further enforcement, speak with an accountant or legal adviser.
