Two languages — two different meanings

UI language is how you navigate the product every day. Document language is what the client and bookkeeper read.

What a Dutch invoice must include

Even with a Polish UI, the document must follow NL rules: parties, KvK, VAT ID when applicable, number and dates, lines, VAT and payment details.

  • Your business and client name and address.
  • KvK and VAT ID when applicable.
  • Unique invoice number and issue date.
  • Net / VAT / gross amounts and IBAN.

Glossary: common Dutch invoice labels

When the client receives a Dutch PDF, these labels help you verify the document quickly:

  • Factuurnummer — invoice number.
  • Factuurdatum — issue date.
  • Vervaldatum — due date.
  • KvK-nummer — Chamber of Commerce number.
  • BTW-id — Dutch VAT number.
  • Excl. BTW / BTW / Incl. BTW — net / VAT / gross.
  • IBAN — bank account for transfer.
  • Omschrijving — description of the service or product.
  • Bedrag — amount.
  • Betalingskenmerk — payment reference.

How to set document language in SmartWerk

Keep the UI in Polish. On the invoice, choose the document language for the client (Dutch or English). The PDF and client email follow that choice.

Dutch invoice vs Polish e-invoice / KSeF

KSeF covers the Polish e-invoice flow. A ZZP invoice in the Netherlands follows NL rules — it is not automatically the same process as in Poland.

Frequently asked questions

Will a Dutch client accept an English invoice?

Often yes, especially with international clients. Complete NL fields matter more than the language alone.

Can I make a bilingual invoice?

In SmartWerk you pick the main document language for the client. Write line descriptions so the client understands them.

Does a “Dutch invoice” require a Dutch UI?

No. The UI can stay Polish; set the client document to Dutch or English.

Does SmartWerk issue KSeF invoices?

No. SmartWerk is built for ZZP in the Netherlands, not the Polish KSeF system.

Should line items be translated to Dutch?

Use wording the client understands. For a Dutch-speaking client, NL or clear agreed English works well.

Where do I enter KvK and VAT so they appear on the PDF?

In your business profile. SmartWerk fills them on the invoice — check the preview before sending.
