Getting started

How do I create a free account?

Go to Register, enter your email and password, and confirm your account. The FREE plan requires no credit card. After signing in, fill in your business details under Profile.

What details do I need for invoices?

At minimum your business name, address, Chamber of Commerce number (if applicable), VAT number (if applicable) and bank details. These are added automatically to your PDF invoices.

Can I use SmartWerk on mobile?

Yes. SmartWerk works in the browser on phone and tablet. A larger screen is often easier for creating invoices and quotes, but you can check overview and reminders on the go.

Invoices & quotes

How do I convert a quote to an invoice?

Open an approved quote in your dashboard and choose 'Convert to invoice'. Line items, client details and VAT are carried over — no retyping needed.

Which VAT rates are supported?

You can set 21%, 9% or 0% VAT per line — standard for Dutch freelancers. Calculators and exports respect the rate chosen per line.

How do I send a payment reminder?

Two places, two moments: (1) Invoice list → Remind sends a due-soon notice while the invoice is still before or on the due date (within 7 days of due; BASIC: one per invoice, max 10 invoices). (2) Reminders (Payment recovery, PRO+) is for overdue invoices only — friendly, firm and final follow-ups via assistant or bulk. PREMIUM adds automatic overdue emails on the recovery schedule.

What is the difference between Remind on the invoice list and Reminders?

Invoice list → Remind = payment-due-soon notice before the due date (friendly heads-up, not collection). Reminders = overdue recovery after the due date (escalating follow-up). If an invoice is already overdue, use Reminders — the list button will point you there.

Does the FREE plan have a PDF watermark?

Yes. On the free plan your invoice PDF includes a SmartWerk watermark. From BASIC onward, PDFs have no watermark.

Plans & billing

Can I start for free?

Yes. The FREE plan needs no credit card. You can create invoices and quotes within the free plan limits (see 'Plan limits' below).

How do I upgrade or downgrade?

Go to Dashboard → Billing. Upgrades take effect immediately via Stripe Checkout; downgrades are scheduled for the end of your current billing period. That page also explains plan changes under 'How plan changes work'.

What does an upgrade cost mid-month?

You pay the full monthly price of the new plan immediately. There is no pro-rata credit for unused days on your previous plan. Your previous subscription is canceled so you are only billed for one active plan. See also /terms#payment.

Can I cancel anytime?

Yes. Via Billing → Manage billing (Stripe portal) you can cancel at the end of the billing period. Access continues until the paid period ends. There is no automatic refund for unused days.

My subscription is set to end — can I downgrade?

No. While a scheduled cancellation is active you cannot change plans. Reactivate via Manage billing first, or wait until access expires.

Are prices inclusive or exclusive of VAT?

Prices on /pricing are exclusive of VAT unless stated otherwise. VAT on your SmartWerk subscription is handled by Stripe. Business customers in the Netherlands typically add 21% VAT on top.

Where is my SmartWerk subscription invoice?

Stripe sends a payment confirmation by email. Via Billing → Manage billing you can view payment history and download receipts/invoices.

My payment failed — do I lose access immediately?

Not right away. With past_due status you can usually keep using your plan while Stripe retries. Update your payment method via Manage billing. If unpaid for an extended period, paid features are revoked.

I was charged twice — what should I do?

Check Billing → Manage billing for two active subscriptions. SmartWerk prevents duplicates where possible. For a confirmed duplicate charge, email support with your login email and Stripe invoice numbers.

Is SmartWerk accounting software?

No. SmartWerk helps you invoice, follow up and stay organised. For full bookkeeping and tax filing use your accountant or an accounting package.

Plan limits

What are the limits per plan?

FREE: 5 clients, 10 invoices/month, 3 quotes/month, PDF with watermark, opdracht check (free). BASIC (€9): 20 clients, 50 invoices/month, 1 due-soon notice per invoice from the list (max 10 invoices). PRO (€19): overdue recovery in Reminders (manual), up to 10 saved contracts total, contract→invoice, CV builder, e-signatures, analytics. PREMIUM (€29): unlimited contracts, automatic daily overdue follow-ups, tax calculator (IB + BTW planning), bookkeeper export — SmartWerk does not connect to your bank. Monthly invoice/quote limits reset each calendar month; the PRO contract cap is lifetime (delete a draft to free a slot).

Tax & tools

Is the tax calculator official for my tax return?

No. It gives an indicative estimate for planning (NL 2026 rules). SmartWerk is not a tax adviser and does not file VAT returns. See also /terms#service.

What are 'smart suggestions' — does SmartWerk use AI?

No. Suggestions and tips are rules based on your own invoice and expense data in the dashboard. There is no AI chat; your data is not used to train external models.

Bookkeeper portal

What is the SmartWerk bookkeeper portal?

A secure inbox inside SmartWerk (PREMIUM) where your bookkeeper sees every export package you prepare — by client and period. It is not accounting software and SmartWerk does not connect to your bank. You still upload bank files manually on the export page when needed.

How do I send packages to my bookkeeper?

Dashboard → Bookkeeper package: enter your bookkeeper email, optionally invite them to the portal once, then click Prepare package. The ZIP is built and added to their portal automatically. You can also email a 30-day share link from the same page. Packages stay active for about 30 days.

I'm a bookkeeper — how do I access client packages?

Create a SmartWerk account with the same email your client saves as bookkeeper email. Accept their invite link once, then open Dashboard → Bookkeeper portal. New packages appear when clients click Prepare package. Use Review in app for BTW rubrieken or download the ZIP for your own tools.

Account & privacy

How do I request or delete my data?

Delete your account: Dashboard → Profile → Delete account (confirm with your email). Export your data: Dashboard → Profile → Export my data (ZIP/JSON). For other requests, email support with subject 'GDPR request'. We respond within 30 days. See /privacy for retention exceptions (backups, legal records, processor logs). Data already emailed to clients cannot be recalled.

Where is my data stored?

Account and invoice data is processed via Google Cloud (EU region where possible). Payments go through Stripe (separate privacy policy). Details are in /privacy.

What does my bookkeeper see if I invite them?

With PREMIUM you can invite a bookkeeper via the bookkeeper portal. They only see data you share (clients, invoices, exports) — no password and no full account access. See /privacy for processors and data sharing.

How do I close my account?

Dashboard → Profile → Delete account (confirm with your email). Cancel any paid subscription first via Billing → Manage billing if still active.
