Revenue, costs and margin on one project

Work & projects

On the project you see what you have invoiced, what has been collected, which direct costs belong with it and which margin remains.

01

What is it?

Project profitability is a block on one project. It shows two views side by side: Invoiced and Collected. Each view has revenue, profit and margin. Direct costs are the same in both views: expenses linked to this project. Every amount is ex-VAT. The block calculates this when you open the project. Nothing is stored separately.

02

Who is it for?

For freelancers who want to see, per job, whether invoiced revenue and collected revenue cover the direct project costs. It sits on that project, next to projects, project tasks, invoices and expenses.

03

What problem does it solve?

An invoice and an expense often sit apart. On the project you see invoiced revenue, collected revenue and direct costs on the same card, with the profit and margin of each view.

What you get

01

Invoiced and collected, apart

Invoiced revenue is what is on the invoices. Collected revenue is the part of that which has been paid. Each view has its own profit and margin.

The same direct costs

Direct costs come from expenses on this project with status Paid, Pending or Overdue. Those costs appear in both views.

How it works in SmartWerk

  1. 1

    Open the project

The block is on the project page, below the tasks and the summary of hours and expenses.

  2. 2

    Link the invoice

An invoice counts when it was created from the project, or when a time entry, mileage entry or expense on this project points at that invoice.

  3. 3

    Link the expense

An expense counts when it is linked to this project and its status is Paid, Pending or Overdue.

  4. 4

    Read the two views

Invoiced profit is invoiced revenue minus those costs. Collected profit is collected revenue minus the same costs. Margin is that profit divided by the matching revenue, when that revenue is above zero.

What you can do

The block belongs with Projects. Project tasks stay hours and estimates, not money. Time tracking can link an invoice to the project. The hours themselves are not a cost. Invoices count when they belong to the project. Expenses count when they belong to the project.

  • Invoiced revenue

The ex-VAT amount of invoices that belong to this project. A draft invoice does not count. A credit note follows the original invoice.

  • Collected revenue

The paid part of those invoices, also ex-VAT. Unpaid amounts count as zero in this view.

  • Direct costs

The ex-VAT amount of linked expenses with status Paid, Pending or Overdue.

  • Profit and margin

Invoiced profit and collected profit, plus invoiced margin and collected margin. With no revenue the margin is empty.

  • Euro

An invoice or expense in a currency other than euro does not count. If the currency is missing, the existing rule applies and the record does count.

Frequently asked questions

What is the difference between invoiced and collected?

Invoiced is the ex-VAT revenue on the invoices. Collected is the paid part of that, also ex-VAT. Direct costs are the same in both views.

Does every invoice or expense count automatically?

No. An invoice counts when it belongs to this project, or when a time entry, mileage entry or expense on this project points at that invoice. An expense counts when it is linked to this project.

Are the hours a cost?

No. Hours and the hourly rate on a time entry are not counted as costs. Only linked expenses are direct costs.

Is this the profit I report for tax?

No. This is insight on one project, ex-VAT. It is not a tax return, not annual accounts and not a view of the whole business.

What it does not do

  • No purchase invoices in these costs.
  • No hourly wage, no payroll and no hours or mileage as costs. The hourly rate on a time entry is not a cost rate.
  • No overhead and no currency conversion.
  • No taxable profit, no annual accounts, no cash-flow statement and no forecast.
